Life insurers put a great deal of effort into acquisition. New products, new distribution channels, and new marketing campaigns are all designed to bring in more policyholders. But once a policy is sold, another factor becomes just as important: persistency, or the rate at which policies remain in force. While insurers use sophisticated actuarial models to understand persistency, much of it comes down to something far more practical. It comes down to billing. Every time a premium is due, a payment either goes through, or it does not. What happens next can determine whether the policy stays in force. 

That is why life insurance billing software deserves more attention than it usually gets. Billing is often treated as a back-office function that should simply work at the lowest possible cost. In reality, it has a direct effect on persistency and the economics of an insurer's book of business. A carrier can invest heavily in acquiring new customers and still lose value if policies lapse because payments fail, customers are not informed in time, or reinstatement is difficult. The premium that took significant effort to acquire does not create much value if the policy disappears a few years later. 

 

Why Life Insurance Billing Software Decides Persistency

Persistency has a direct connection to the economics of life insurance. Insurers incur many of their costs early in the policy lifecycle. Underwriting, commissions, and policy issuance all require investment before the insurer has collected premiums for very long. If a policy lapses early, the carrier may not have enough time to recover those initial costs. Keeping a policy in force therefore affects more than retention figures. It affects the value of the business the insurer has already written.

The point at which this value is protected is often the premium payment. When a payment is due, the billing process must do more than generate an invoice or initiate a draft. It needs to recover failed payments, notify customers when action is required, and make it easy for them to keep their coverage active. If the process is slow or unclear, the risk of lapse increases. The work done by the sales team can then be undermined by an issue that occurs much later in the policy lifecycle.

This becomes even more important when premium growth slows. Deloitte expects global life premium growth to move toward 2,4% in 2026. When acquiring new premium becomes harder, protecting the premium already on the books becomes more important. Billing plays a central role in that effort. Treating it only as a cost center can mean overlooking one of the most practical ways to protect existing businesses. 

It also helps to look at voluntary and involuntary lapse separately. A customer may voluntarily leave because their financial situation has changed, their needs are different, or another product appears more suitable. These issues can be difficult to address because they involve the customer's circumstances and perception of value. 

An involuntary lapse is different. The customer may still want the policy but lose coverage because a payment failed, payment details were not updated, or reinstatement required too much effort. These are problems that better billing processes can address. When insurers combine both types of lapse into one figure, they can miss the portion that is within their control.

This creates an opportunity for carriers to shift some of their attention. Voluntary lapse will always require work across products, pricing, service, and distribution. Involuntary lapse presents a more direct operational opportunity. Improving billing can help prevent policies from leaving the book for reasons that could have been avoided.

The Retention Campaign That Runs Itself

Insurers invest in win-back campaigns, customer communications, and outreach to policyholders who are close to lapsing. These efforts can be useful, but many begin after a problem has already developed. Billing can address the same issue earlier, before a policy lapses.

Consider a failed payment caused by an expired card. An automated retry may recover it without requiring a service representative to intervene. A reminder sent before the grace period ends gives the policyholder time to take action. A straightforward reinstatement process can help a customer restore coverage without having to navigate a lengthy manual procedure.

These are billing functions, but they also support retention. They work continuously across the in-force book rather than being limited to a particular campaign or customer segment.

The quality of the underlying data matters as well. A life insurance claims management system depends on accurate policy information to process claims correctly, and billing has a similar requirement. When billing and policy systems share current information, changes such as funding updates or payment mode changes can flow through without creating discrepancies. When the systems are out of sync, customers may receive incorrect bills or confusing communications. Repeated issues like these can weaken confidence in the insurer and create unnecessary friction.

What Modern Billing and Payments Insurance Software Changes

Moving from legacy billing to modern billing and payments insurance software changes the role billing plays in persistency. Instead of simply processing premiums and recording failed payments, the system can help prevent avoidable lapses.  

Several capabilities matter here: 

Intelligent payment recovery: Failed payments can be retried according to an appropriate schedule, while customers can be prompted to update expired or incorrect payment details.

Proactive, plain-language communication: Customers can receive clear notifications when a payment fails or coverage is at risk, giving them time to act before the grace period ends.

Flexible payment options: Customers can use payment methods and schedules that fit their preferences, including digital wallets and autopay where supported. More flexibility can reduce the chances of a missed payment.

Simpler reinstatement: A guided reinstatement process can make it easier for customers who want to restore their coverage to complete the necessary steps.

Real-time accuracy: Billing that uses current policy information is less likely to generate incorrect bills after changes to the policy or payment setup.

Each of these capabilities addresses a different source of preventable lapses.  

 

The Advantage Compounds Quietly

Billing modernization can be easy to overlook because its results are less visible than those of a retention campaign. A campaign produces a clear response figure. Better billing often produces something less obvious: policies that never lapse in the first place. 

That does not make the benefit smaller. A policy kept in force continues generating premium over time. When the same improvement is applied across a large in-force book, the effect can accumulate with every billing cycle. The insurer is not simply retaining one customer. It is protecting the value of policies it has already spent money and effort acquiring.

The first step is to measure what is happening. Insurers can track involuntary lapse rates, payment recovery rates, on-time payment rates, and reinstatement completion. These measures help show whether billing changes are actually reducing preventable lapses. They also give business and operations teams a clearer basis for deciding where further investment is needed.

This changes how billing is viewed. Instead of asking how cheaply the billing function can operate, insurers can ask how much value it protects. That is a more useful question when the goal is to improve persistency.

The investment case can then be evaluated against the premium protected by these improvements. A payment recovery capability or a simpler reinstatement process does not necessarily require replacing the entire core system. If it prevents policies from lapsing, the insurer retains premium that might otherwise have disappeared. The potential value extends beyond retention to service efficiency and customer experience as well.

Persistency will remain an important measure of how well life insurers manage the business they have already written. Billing plays a much bigger role in that outcome than its back-office reputation suggests. Carriers that treat their life and annuity billing platform as a tool for keeping policies in force can address preventable lapses before they become a retention problem. For insurers focused on long-term value, the more useful question is not only how much the next retention campaign will cost. It is whether their life insurance billing software is doing enough to keep willing policyholders covered.
